How It Works

Three steps to a practice where nothing slips.

Here's the whole system, end to end: what you set up once, what CanyonOps does every year after, and what you can prove at any moment. This is exactly how firms run it, including ours.

[01] · Set your service model

Decide what every client gets. Once.

Your service model is the promise behind your fee: which meetings, reviews, and touchpoints each tier of client receives, and when. Most firms have this in their heads. Onboarding starts by writing it down — we build it with you, starting from proven frameworks or the calendar you already run.

Three tiers is plenty. Deadline-driven work — RMDs, beneficiary checks — goes to everyone; depth and frequency scale up from there.

  • Built with you during white-glove onboarding
  • Start from proven frameworks or bring your own
  • Seasonal by design, so no quarter drowns
  • Change it anytime — future years follow

[02] · CanyonOps builds the year

Every January, the work appears.

On January 1, every household gets its year: every review, every touchpoint, every deliverable from your service model, assigned to the right person with the right due date. Nobody writes a task list. It's already there.

Then the year adapts on its own. A client turns 73 and RMD planning appears. A business sells and a sequenced checklist arrives. A July meeting becomes an $85K Roth conversion task — filed, assigned, and traceable back to the transcript line.

  • The whole year, for every household, on Jan 1
  • Age triggers watch the birthdays so nobody has to
  • Life events arrive as sequenced steps, not vague reminders
  • Meetings become filed work through AI Meeting Ingest

[03] · You prove it happened

The proof is already there.

Every completed task, note, and meeting is timestamped, attributed, and filed as it happens. So when a regulator asks "show us what you did for this client," the answer is one click: per-client reports, communication logs, a sealed evidence pack.

And clients get their version too: the year-end letter that turns twelve months of invisible work into the reason they stay.

  • Per-client and firm-wide annual review reports
  • One-click evidence pack — sealed and verifiable
  • A permanent audit trail underneath everything
  • Year-end client letters drafted from the year itself

Connected by Design

Then it compounds.

The meeting happens

You run the annual review the way you always have, with any notetaker in the room.

Click any step — or just watch the year run.

The meeting becomes tasks, the tasks become the year, the year becomes evidence — and next January starts smarter than this one did.

Common Questions

Before you ask.

Most firms are running inside their first month. White-glove onboarding is included on every plan: we build your service model with you, import your households, and set up your team's views — personally, by the team that runs CanyonOps on its own practice.
The opposite — that's the most common starting point. We'll start from proven frameworks (see The Service Calendar Framework), shape it to how you actually work, and you'll leave onboarding with the one-page grid most practices never build.
If they can run a task list, they're trained. Every task carries its own context and history, so most teams are comfortable inside a couple of days — and new hires onboard from the task history itself.
