FAQ

Fair questions. Straight answers.

Everything advisors ask us on demos, written down. If yours isn't here, email hello@canyonops.ai — a human answers.

The product
The practice management platform for financial advisors — it makes sure the work you promise clients actually gets done. You define your service model once; CanyonOps sets up every task for every household every year, assigns it to your team, tracks it to completion, and produces the evidence it happened. Your CRM, planning software, and portfolio tools keep their jobs. CanyonOps covers the one nothing else does.
No — and that's deliberate. Your CRM tracks contacts and pipeline. CanyonOps covers delivery: the promised work, its execution, and its proof. Firms run both side by side; most tell us the overlap is nearly zero.
One job, extremely well: reading your meeting transcripts and drafting what you'd have entered yourself — tasks, notes, logged meetings — filed to the right household with dates and owners. Every suggestion shows the transcript line it came from, and nothing is saved until a human approves it. The AI does data entry. You keep judgment. Worth separating from the rest of the platform: your scheduled work — the service calendar, age triggers, life-event checklists — is built from rules you set, and appears without anyone approving it. Only the AI's reading of a transcript waits on you.
Any of them. If your tool produces a transcript or notes — Zoom, Teams, Fireflies, Otter, Plaud, a voice-memo transcript — paste or upload it and CanyonOps takes it from there. No integration required to get value on day one.
You edit it or dismiss it, and that's the end of it — dismissed suggestions are never saved. The review step isn't a disclaimer; it's the design. You'd review a paraplanner's draft too.
Yes — ad-hoc tasks can be added anytime (a business sale, a college analysis, a one-off promise from a meeting) and get the same treatment: owner, due date, history, proof. They keep a tag showing where they came from.
Getting started
Most firms are running inside their first month. White-glove onboarding is included on every plan: we build your service model with you, import your households, and set up your team's views — personally, by the team that runs CanyonOps on its own practice.
The opposite — that's the most common starting point. We'll start from proven frameworks (see The Service Calendar Framework on the blog), shape it to how you actually work, and you'll leave onboarding with the one-page grid most practices never build.
Yes — households, tiers, and open work come in during onboarding from spreadsheets or exports of whatever you run today. Bring what you have; we've imported from legal pads.
Only where you want them to: proposals are shareable client-facing links, and the year-end summary letter goes out under your name. The operational system itself is internal to your team.
Security & compliance
Encrypted at rest (AES-256) and in transit (TLS), with strict per-firm separation — your data is never visible to another firm. Full detail, including our sub-processor list, is on the Security page or by email.
No. Your data is used to serve your firm — not to train models.
In progress, on a public clock: Type I engagement targeted Q4 2026, Type II on the 2027 roadmap. Ask for the current security pack anytime — we'd rather show our work than a badge.
CanyonOps is built audit-ready — permanent audit trail, tamper-evident exports, SEC 204-2-aligned retention with dual-control deletion holds — and evidence packs give examiners per-client answers in one click. Your compliance obligations remain your own — we're software, not your CCO.
It exports with you — tasks, notes, history, audit trail. No hostage-taking.
Pricing & the company
By households served, never by seats — unlimited team members on every plan, starting at $149/month. Full detail on the Pricing page.
Because per-seat pricing punishes exactly the behavior that makes practices safe: putting your ops team, paraplanners, and every advisor in the system. Nothing slips only if everyone's in.
Jake Cazier, CFP® — an advisor who rebuilt his practice from $20M to $90M AUM on referrals after uncovering (and reporting) his mentor's $30M Ponzi scheme, then built the system his own operations needed. CanyonOps still runs his practice, Canyon Strategic Wealth, every day. Full story on the About page.
Twenty to thirty minutes with the founder, on the live system that runs his practice. No slide deck, no sales-team handoff, no 14-step "evaluation journey." You'll leave knowing whether this fits your firm. Book one here.
