Your COI Network, Organized
Professional Team
Coordination.
Every wealth client has a team beyond their advisor — CPA, estate attorney, insurance specialist, banker, and more. CanyonOps tracks your entire Centers of Influence network: who's been introduced, what's been coordinated, and what referrals are in play.
The Coordination Gap
You're the quarterback.
Where's the playbook?
Advisors know they need to coordinate with their clients' CPAs, attorneys, and insurance agents. But tracking who's been introduced, which professionals are active on which households, and whether referrals are progressing — that usually lives in the advisor's head, scattered emails, or a spreadsheet nobody updates.
CanyonOps gives your Centers of Influence (COI) network a structured home. Track every professional relationship by role, invite them into a secure portal, and manage referrals in both directions — all from within the same system where your team executes daily work.
Key Capabilities
Your professional network,
structured and actionable.
12+ Professional Roles
CPA, estate attorney, insurance agent, banker, mortgage broker, business attorney, general attorney, trusted contact, doctor, business manager, family officer, and more. Each role maps to the type of coordination you do with that professional — from tax coordination to estate plan reviews.
Secure Professional Portal
Invite professionals into a portal where they can access only what you allow. Configure granular permissions per professional: view tasks, update task status, add task notes, view documents, upload documents, send messages, and submit referrals. Each professional sees only the households where they're assigned.
Bidirectional Referral Tracking
Track referrals in both directions — inbound (professionals referring clients to you) and outbound (you referring clients to professionals). Each referral moves through a clear pipeline: Submitted, Contacted, Meeting Scheduled, then Converted or Declined. Know exactly where every referral stands.
Granular Permission Controls
Seven configurable permissions per professional: viewTasks, updateTaskStatus, addTaskNotes, viewDocuments, uploadDocuments, sendMessages, and submitReferrals. Your CPA might get full task and note access but no document uploads. Your insurance agent might only see assigned tasks. You control the access.
Wealthbox CRM Enrichment
Connect your Wealthbox CRM to auto-enrich COI contact data. When you add a professional to a household, CanyonOps pulls their contact details, firm name, and role from Wealthbox — no double data entry. Changes sync bidirectionally so both systems stay current.
Email Invitations
Invite professionals to the portal via email directly from CanyonOps. The invitation includes a secure link, and the professional can create their account and immediately see their assigned households, tasks, and permissions. No phone calls to explain how it works.
Referral Pipeline
Track every referral,
in both directions.
Know exactly which professionals are sending you business, and which clients you've referred out. Every referral has a clear status so nothing falls through the cracks.
Day in the Life
How Jake coordinates the
Henderson professional team.
Scenario: Building and managing a client's professional team
Assess the COI Coverage Gap
Jake opens the Henderson household and checks the Centers of Influence section. He sees 3 active professionals (CPA, estate attorney, banker) and 2 gaps — insurance agent is pending introduction and business attorney hasn't been assigned yet. The relationship score flags "COI coverage: 60%" as an area for improvement.
Invite Lisa Kim to the Portal
Jake adds Lisa Kim as the Insurance Agent for the Henderson household. He sends a portal invitation via email, configuring her permissions to view assigned tasks, update task status, and add notes — but not view documents or send messages. Lisa receives a branded email with a secure link to create her account.
Track the Insurance Referral
Jake creates an outbound referral for the Henderson LTC insurance review, assigned to Lisa Kim. The referral starts at "Submitted" status. When Lisa contacts the Hendersons, Jake updates it to "Contacted." When the meeting is scheduled, it moves to "Meeting Scheduled." The whole pipeline is visible in the referral dashboard.
Receive an Inbound Referral
Sarah Mitchell, the Hendersons' CPA, uses her portal to submit a referral — the Martinez family needs wealth management. The referral appears in Jake's inbound pipeline as "Submitted." He contacts them, schedules a meeting, and eventually converts it to a new proposal. The referral source is tracked permanently, so Jake knows his top referral partners at year-end.
Year-End Referral Review
In December, Jake pulls the referral dashboard. Sarah Mitchell sent 3 referrals this year — 2 converted. Robert Park sent 1 that converted. Lisa Kim hasn't sent any yet but completed all assigned tasks promptly. This data shapes Jake's professional relationship strategy for next year: nurture the top referral sources, strengthen the newer relationships.
